Our client is a respected player in the professional association space, dedicated to supporting educators and advancing their field through the sale and distribution of high-quality publications, including authored books.
The revenue from these publications — sold through Community Hub and fulfilled by third-party distributors — is shared with the authors via royalties. But as their publishing efforts grew, so did the complexity of managing royalties.
Without a solution, their process would be bogged down by manual calculations, disparate data sources, and embarrassing delays in the twice-per-year generation of royalty statements and payouts. Errors would creep in, staff would be overstretched, and authors would grow frustrated with late payouts. For an organization built on trust and collaboration, this was a problem they couldn't ignore.
Solution
Seawalker Tech tackled this challenge head-on, architecting and building a custom royalty tracking system in Nimble AMS that met the client's needs as outlined in a highly detailed user story.
The bedrock for this was a robust, scalable data model that neatly organized all the royalty data while seamlessly integrating with sales data from Nimble's Community Hub Lightning Store and their fulfillment provider, consolidating everything into one hub.

The system allows staff to use a straightforward yet powerful Salesforce screen flow to easily calculate royalties for any period using predefined rules, ensuring precision every time.

The output of the flow is a "job" record — which serves as a full audit trail of who generated royalties, when, and whether it succeeded. It also bulk-generates a full set of royalty records with all the data needed to then use Nimble Create to design custom statements.
From there, the client leverages Salesforce and Nimble AMS features such as reports, dashboards, and automated alerts that make the system not just functional but intuitive.
The result? A tool that's as easy to use as it is powerful, giving the association full control and transparency over their royalty process.
Results
The transformation was immediate and impressive. With the new system in place, the client streamlined royalty processing, freeing staff to focus on strategic priorities rather than data entry and manual generation of royalty statements.
With a dialed-in, accurate ruleset baked into the royalty calculation code, royalty calculations became error-free — with the only errors being caused by upstream data entry (e.g., an incorrect royalty rate entered by a staff user). Even in that case, staff have an easy "do over" button where they can bulk-clear all the royalties generated for a period, fix the upstream issues, and then bulk re-run the royalties.
Getting the payouts right the first time ensured the authors' trust was maintained in the Nimble AMS era. With such a streamlined process, payments could now reach contributors within weeks of each reporting period, boosting satisfaction across the board.
